Data Deletion Instructions

MicroTribe respects your right to control your personal data. You can ask us to delete the data we hold about you at any time, free of charge, and you do not need a MicroTribe account to do it.
Email is the primary and guaranteed route for every request, and every request sent to this address is handled by a person on our team: support@microtribe.net.
Which section applies to you?
- You have a MicroTribe account — you signed up for MicroTribe, or you connected your business's Instagram professional account to MicroTribe.
- You tagged a business on Instagram and have no MicroTribe account — you @mentioned a café or shop in an Instagram story, post or reel, MicroTribe recorded that mention for them, and you may have received an automated thank-you message. You never signed up for anything, and you can still have that data deleted.
If you have a MicroTribe account
Send an email to support@microtribe.net with the following details:
- Subject line: Delete my data
- In the email body, include:
- The email address associated with your MicroTribe account
- Your business name, and the connected Instagram username if you connected one
- A clear statement that you wish to have your data permanently deleted
- Whether you want everything deleted, or only the Instagram data — the connection, the captured mentions and the automated-message records — while keeping the rest of your account
Please send the request from the email address on the account. If you cannot, we will ask you to confirm your identity another way before we delete anything, so that nobody can delete your data on your behalf.
If you were tagged on Instagram and have no MicroTribe account
When you @mention a business that uses MicroTribe in an Instagram story, post or reel, Instagram sends us that mention on the business's behalf. We record the mention together with a small amount of profile information about you, and the business's Instagram account may send you one automated thank-you message. You never created a MicroTribe account, so wording like "the email address associated with your account" does not apply to you — use this route instead.
Email support@microtribe.net with:
- Subject line: Delete my Instagram data
- Your Instagram handle (for example
@yourhandle) — that is the only identifier we need to find your records - The business you tagged, if you remember it. If you do not, we search for your handle across every business on the platform.
- Tell us which you want:
- Delete my data — we permanently delete every mention record and every profile field we hold for your handle, for every business, along with the record of any automated message sent to you.
- Stop messaging me — a person on our team switches off the automatic reply on the account of the business you tagged, so it stops sending. We do not run an automatic block-list keyed to your handle, and we do not read replies to the thank-you message, so this is handled by hand and it is worth naming the business if you know it. The instant, self-serve control is to block or restrict that business on Instagram, which removes our ability to reach you at all.
Because an Instagram handle is public, we may ask you to confirm that the account is yours before we act — for example by messaging us from that account — so that nobody else can erase or suppress your data. We will never ask you to create a MicroTribe account, to pay anything, or to take it up with the business yourself: for data we obtained through Instagram, we act on your request directly.
What will be deleted
Once we receive and verify your request we permanently delete the records below. This is the complete list of what MicroTribe stores from Instagram.
- Your MicroTribe account (account holders only) — profile information, business settings, and the analytics, logs and metadata tied to the account.
- The Instagram connection record — the connected Instagram account ID, username, profile picture URL and follower count, plus the access token and its expiry date. Destroying the token immediately ends our ability to call Instagram on that account's behalf.
- Captured mentions — for each story, post or reel that tagged the business: the Instagram media ID, the media type (story, image, video, carousel or reel), the caption text, the Instagram permalink, the temporary Instagram CDN link to the media, and the timestamps for when it was posted and when we received it.
- Profile data about the person who tagged — Instagram handle, the Instagram-scoped user ID, display name, profile picture URL, follower count, the verified flag, and whether you follow the business and whether the business follows you. If your handle matched an existing customer record of that business, the link between the two is removed as well.
- The automated-message record — the delivery status, the time it was sent, the Instagram message ID and any delivery error for the single thank-you message sent in response to a mention.
Deleting our copy of a message record does not remove the message itself from anyone's Instagram inbox — that conversation lives inside Instagram, and either party can delete it there.
Photos and videos are never stored
MicroTribe does not copy, store or cache the photo or video content of an Instagram story, post or reel. We keep only the temporary link Instagram provides, which expires on Instagram's own schedule — after that the mention simply reads "Story expired" in the business's dashboard. There is therefore no stored media file to delete, on our servers or anywhere else.
Timeline
We acknowledge every request within 2 business days, and we process it and confirm completion by email within 30 days of receipt. Some information may be retained for a limited period where required by law or for legitimate business purposes (such as fraud prevention or financial records), after which it will be permanently deleted.
Stopping future collection without deleting your history
If you want the collection to stop but would rather keep what has already been captured, you have these options. None of them deletes existing records — for that, use the email routes above.
- Business owners — disconnect inside MicroTribe. Go to Settings → Integrations and choose Disconnect Instagram. This destroys the stored access token, ends the webhook subscription and stops any further mentions or automated messages immediately. Mentions already captured stay in your dashboard until you ask us to delete them.
- Business owners — revoke from Instagram or Facebook. In the Instagram app, open Settings and find the Apps and websites section (some app versions list this under Website permissions), then remove MicroTribe. If your Instagram account is managed through Facebook, the equivalent control is Settings → Business Integrations. If you cannot find it, email us and we will disconnect the account from our side. Revoking access stops all future collection; on its own it does not delete data already stored, so send a deletion request too if that is what you want.
- If you were tagged. Two things stop it. Block or restrict the business on Instagram — that is immediate, it is yours to do, and it removes our ability to message you. And do not tag a MicroTribe-connected business: we record a mention only when you tag one, and we only ever reply to that mention, once. You can also email us as described above and we will switch off that business's automatic reply by hand.
Checking the status of a request
If Instagram or Facebook offered you a "Send Request" option when you removed MicroTribe, and you were given a confirmation code, you can look up what happened to that request — no account or sign-in needed — on the deletion status page. If you do not have a code, or the lookup does not find your request, email us and we will handle it by hand — the email route above always works.
